Note, this a 10 month position with a regular work schedule from August 1 – December 15 and January 15 – June 30 with the exception of this year when the employee will work from date of hire to December 15, 2010. This is a temporary position with continuation subject to funding.
The primary purpose of this position is to provide administrative support to the Educational Talent Search program and staff. This position is responsible for providing general and specialized clerical, administrative and programmatic support, including working on grant proposals and annual reports; accurate budget tracking, reconciliation and support; inputting and maintaining program databases; interacting with campus community, school site personnel and general public; problem solving; supervising and assigning work to program clerical student assistants; and providing backup to the Student Academic Services office manager, as well as the receptionist.
High school diploma or equivalent and three years of general office support or administrative assistance experience required. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for six months of experience). Proven ability to work independently, use initiative and establish priorities to plan, organize, coordinate and perform day-to-day and long-range position responsibilities. Must possess strong organizational skills including attention to detail and managing multiple responsibilities. Thorough working knowledge of office systems, filing, methods and procedures. Must possess excellent oral and written communication skills including composing correspondence, proofreading, editing, grammar, punctuation and spelling with close attention to detail. Ability to maintain confidentiality. Working knowledge of, or ability to quickly learn, applicable federal, state and university policies and procedures and the ability to interpret, put into operation and explain to a variety of individuals. Proven ability to perform standard business math, analyze and track financial data and assist program director with accurate budget projections. Must be proficient in the use of computer technology to perform job functions and skilled in the use of word processing, databases, spreadsheets, email, electronic calendaring and internet. Ability to learn and use mainframe applications and systems for obtaining student and budget data, reports, etc. Experience with employee training, assigning work, and establishing assigned work priorities. Proven ability to complete and process various forms such as travel requests, check requests, purchase orders, etc. Experience coordinating and scheduling meetings, workshops, etc. Proven ability to proficiently operate standard office equipment such as computers, printers, calculators, facsimile machines, copy machines, multi-line telephone system, etc. Exhibit professional and personal qualities necessary for establishing and maintaining effective and cooperative working relationships with school site personnel, students, parents and a diverse staff. Experience working with multi-cultural, low-income, first-generation college, other non-traditional or underserved student populations required. Must be dependable, possess a positive attitude and have a proven record of good attendance. Regular full-time attendance is required. Bilingual/biliterate (Spanish/English) preferred.
